Learned Rules

When you correct what the AI read on an invoice and validate it, Finpilo learns from your corrections. If the same correction would fill a field the same way every time, Finpilo offers it to you as a rule. Say yes, and the next invoices arrive with that field already filled.

Answer a rule after you validate

  1. Correct the invoice and click Validate.
  2. Once Finpilo has learned from your corrections, a window opens: A Rule from Your Corrections, or 2 Rules from Your Corrections when there are more.
  3. Each rule is its own card. It names the field it fills and shows the rule, for example "Total Excl. Tax = Total Incl. Tax ÷ (1 + Tax Rate ÷ 100)", and how far it fits, for example Fits all 8 lines.
  4. Below that, the invoice's own lines show what You entered next to what the Rule gives. If they match, the rule does what you did. When there are more than five lines, click Show All to see every one.
  5. Click Use on Next Invoices to keep the rule, or No to decline it.

Closing the window answers nothing. The rules wait on the invoice's Suggestions tab.

Some rules need one more answer first:

  • Two rules fit equally. Pick the one that matches how you work, then click Use on Next Invoices.
  • The rule starts from a value no field holds yet, for example the amount printed on each line. Choose the field that holds it under Starts from. Until you do, Use on Next Invoices stays off.
  • A rule that cannot be kept says why, for example when it reads a value that no field of this document type is linked to.

What a rule changes

A kept rule fills its field on every invoice of the same document type and entity that is read from then on. It also runs when an invoice is read again with Re-extract. Invoices already in Finpilo are not changed, and editing an invoice never runs a rule.

A kept rule is a step in the field's Calculation, under Workspace Settings › Fields. You see it there and can change or remove it like any other step.

No declines the rule, together with every rule that would give the same values. Finpilo offers it again only if new invoices give a reason to.

Where rules wait

  • On the invoice: the Suggestions tab shows the rules the invoice's corrections taught, with a count.
  • On the entity: Entity Management › an entity › Suggestions lists every rule still waiting. Click one to open its invoice on the Suggestions tab, where you answer it.

Choose how an entity uses learned rules

On an entity's General tab, Learned Rules has three choices:

  • Ask (the default): Finpilo asks you, as described above.
  • Apply: Finpilo keeps each rule on its own, within minutes. A rule that needs your choice (two rules that fit, or a field to name) still waits for you.
  • Off: Finpilo offers nothing and keeps nothing. The Suggestions tabs are hidden.

Click Save in the bar at the bottom to keep the choice.

Answering rules and changing Learned Rules needs the right to edit fields (the Admin or Owner role by default). Anyone who can see the invoice can see its rules.

Your AI assistant can list the rules waiting and answer them for you.
