Getting Started
This section walks you through your first steps after receiving access to Finpilo.
Signing in
- Open app.finpilo.com in your browser.
- Sign in with the credentials provided in your invitation email.
- After authentication, Finpilo loads your workspace automatically.
If you belong to multiple workspaces, the last workspace you used is selected by default. You can switch workspaces at any time using the workspace selector in the top-left corner of the header.
The interface at a glance
After signing in, you see the main layout with three areas:
- Header (top) — shows the Finpilo logo, workspace selector, entity selector, and your user profile menu.
- Sidebar (left) — navigation menu with links to Dashboard, Documents, Entity Management, and Workspace Settings (Admin/Owner only). The sidebar can be collapsed to icons only by clicking the collapse arrow at the bottom.
- Content area (center) — displays the current page.
Selecting entities
Before you can see any documents or statistics, you need to select which entities to work with.
- In the header, find the entity selector dropdown (it shows "Select entities..." when nothing is selected).
- Click it to open the dropdown.
- Select one or more entities by checking the boxes next to their names. You can use the search field to find a specific entity.
- Click Select All to select all entities at once, or Clear All to deselect everything.
Once entities are selected, the dropdown shows the count (e.g., "1 selected") and the Dashboard and Documents pages display data for those entities.
Your entity selection is remembered for the duration of your browser session. It resets when you close the tab.
Navigating between pages
Use the sidebar to move between the main sections:
- Dashboard — overview of document processing statistics for your selected entities.
- Documents — the central working area where you upload, browse, filter, and open documents for review.
- Entity Management — configure your entities, partners, dimensions, document types, and field layout.
- Workspace Settings — manage users, view billing and usage data, and configure workspace-level settings. Visible to Admin and Owner roles only.
Your user profile
Click your name and avatar in the top-right corner of the header to access:
- User Settings — edit your name, view your role and email.
- Sign Out — log out of Finpilo.
What to do first
If your workspace has just been set up, follow these steps in order:
- Review your entity — go to Entity Management, open your entity, and verify that the legal name, registration number, VAT number, and address are correct. These details are used by the AI to identify your company on documents.
- Note the email processing address — on the entity's General tab, you will find a unique email address (e.g.,
abc123@in.finpilo.com). Forward documents to this address for automatic processing. You can copy the address by clicking the copy icon next to it. - Configure dimensions — if you want the AI to assign cost centers, VAT codes, or other accounting tags, set up your dimensions and their values under the entity's Dimensions tab. The AI uses these values when processing documents.
- Upload your first document — go to Documents, click "Upload Documents," select your entity, drag and drop a PDF or image file, and click Upload. The document will appear in the list immediately with a Processing status.
- Review the processed document — click on the document to open the Document View. Check the extracted data, review AI-assigned dimensions, and click Validate when everything looks correct.
