Actions

The Actions page is your personal inbox. When a workflow needs your decision — most often an approval — it appears here. The Actions item in the sidebar shows a badge with the number of decisions waiting on you.

The page has three tabs.

Waiting on You

Everything waiting on you is one list. Each row shows the step, the document (number and supplier), the entity, your amount — the total of the lines your decision covers, not the whole invoice — the due date, and how many approvers have already decided. Overdue items are marked in red.

You can search the list by document number, supplier, or step, and filter it by entity, workflow, or overdue items only. Click a column header to sort by due date, amount, or when the item arrived.

Deciding

Click a row to open the decision panel. It shows everything you need in one place:

  • Your amount and the key facts your administrator chose to show — for example the invoice total, the supplier, or the payment due date.
  • A note from your administrator, often with details filled in from the document.
  • The lines this decision covers, with their total. When the lines are grouped — for example by cost centre — each group shows its own subtotal.
  • The approval trail: who already decided before you (with their comments), who shares this decision with you, and who decides after you. A step that only happens under certain conditions is shown as "may follow".
  • A preview of the document itself, right next to the decision. You can hide it with the eye button, or click Open Document to open the full document in a new tab. What you see depends on how the step is set up: some approvals show the whole document, some only the preview, and some only your lines.

To decide, add a comment if you wish and click Approve or Reject. Depending on how the workflow is set up, a comment can be required — for example, a reason when rejecting.

Once you decide, the decision is final — it cannot be changed. If a step has several approvers, the row stays visible with your decision marked while the others decide. When more items are waiting, the panel moves straight to the next one, so a stack of approvals is one smooth pass.

If a document is moved to another status while your decision is still pending, the request is cancelled and disappears from your list — the document's history records why.

Your Decisions

Every decision you have made, newest first: the step, the workflow, the document, your decision, and your comment. Use it to look back at what you approved or rejected and why.

Notifications

Messages that workflows send you for information — for example "Invoice was sent to accounting". These need no action. Unread notifications are highlighted; click one to open the related document, or use Mark all as read.

Where decisions are recorded

Every decision, with its comment, is also visible to your colleagues on the document itself — open the document and check the Activity tab. See Document View for details.
