AI Assistants

You can connect an AI assistant — such as Claude — directly to your Finpilo workspace and ask it, in plain language, to find documents, answer questions about your spending, edit documents, move them through their statuses, and more. The assistant acts as you: it can only do what you could do yourself in Finpilo, and only in the entities you have access to.

Your workspace admin must turn on API & AI access first (see below). Editing documents or configuration also requires the matching permission for your role.

Turning it on

An assistant cannot reach your workspace until an Admin or Owner enables it:

  1. Go to Workspace SettingsAPI & AI Access.
  2. Turn on Enable API & AI agent access for this workspace.
  3. Optionally adjust what each role may do in the permissions table below the switch.

Connecting an assistant

You do this once. The steps below use Claude (at claude.ai) as the example; other assistants that support connectors follow the same idea, and Claude's own screens may look slightly different from version to version.

  1. Make sure API & AI access is turned on for your workspace first (see the step above) — otherwise the connection is refused.

  2. In Claude, open the settings menu (click your name at the bottom-left) and choose Settings.

  3. Open the Connectors section, then click Add custom connector.

  4. In Name, type Finpilo. In the URL (or Remote MCP server URL) box, paste this exactly:

    https://api.finpilo.com/mcp

  5. Click Add. A Finpilo sign-in window opens in a new tab.

  6. Sign in with your usual Finpilo email and password — the same login you use for the Portal.

  7. Finpilo shows what the assistant will be allowed to do. Read it and click Allow.

  8. The window closes and Finpilo now shows as Connected in the connectors list. That's it.

Using it

Start a normal chat and just ask, in your own words. For example:

  • "Finpilo, which invoices are waiting for my approval?"
  • "How much did we spend with Acme last quarter?"
  • "Open the latest invoice from that supplier and change its due date to the 30th."

The first time you ask something, Claude may show a short "allow this action?" prompt — say yes, and it remembers for the session.

If the assistant replies that access is not enabled, ask your workspace Admin or Owner to turn on API & AI access (above).

What you can ask it to do

Depending on your role and the permissions set on the API & AI Access tab, an assistant can:

  • Find and read documents — "show me unpaid invoices from Acme this quarter", "open the last invoice from that supplier".
  • Answer questions with real numbers — spending by supplier, by cost centre, by month — worked out from your data, not guessed.
  • Edit documents — change fields, line items, and dimension values, through the same save path the app uses (so versioning and history behave exactly as normal).
  • Move documents through their statuses and respond to approvals that are waiting on you.
  • Manage master data — partners, dimensions, and entities.
  • Set up automation — if your workspace allows it, describe an approval workflow or an integration in words and the assistant drafts it for you to review.

Everything the assistant does is recorded in the document history under your name, exactly as if you had done it by hand.

Security

  • An assistant can never do more than you can do yourself, and only in the entities you can access.
  • It cannot see or touch another workspace.
  • Text inside documents can come from outside senders (documents arrive by email), so Finpilo treats that text as data, never as instructions — an assistant will not act on hidden commands placed inside an invoice.
  • An Admin or Owner can turn the whole thing off at any moment from the API & AI Access tab.

Connecting a system instead of an assistant

To connect another product — your accounting software or a custom integration — rather than a conversational assistant, use an API key instead of a login. See External API.
