Views
A view decides how something is shown. There are two kinds:
- A Document View decides how a document is shown: which fields appear, in which sections and tabs, and which tables (such as the line items) with which columns.
- A List View decides which columns the documents list shows, in what order and how wide.
A view only changes what you see. Every value stays on the document whether a view shows it or not.
The views your workspace starts with
- Documents is the default list view. It shows the columns the documents list starts with.
- Standard is the default view. It shows the header sections Basic Information, Supplier, Recipient, Financial Summary, Comment and Dimensions, and the line items table.
- Empty shows no fields and no tables, only the document itself. Documents of the type Other open in Empty, since nothing is read from them.
They are ordinary views: they can be renamed, changed or removed. One view of each kind is always the default. The default cannot be removed while it is the default, so make another view the default first.
Which view a document opens in
A document opens in the view its document type is linked to for its entity. A document type with no link, and a document with no type, open in the default view.
Views belong to the whole workspace, so two entities can use the same view, or each link its document types to a view of its own.
Fields a view does not show
A field the view does not place is not shown, but its value is kept on the document. It is still searched and exported.
Whether a field must be filled is set on the field itself, never in a view, so it applies whichever view is open. When a status change needs a field that is empty, you are asked for it when you choose the change.
The Views tab
Open Workspace Settings › Views to see every view: its type, which one is the default, when it last changed and who changed it. Search views finds a view by name.
- Add View asks for a name and a type, then opens the new view. A new view starts empty.
- A view's ⋮ in the list makes a copy of it, named "Copy of" and its name.
- Clicking a view opens it. Its ⋮ holds Duplicate View, Rename View, Make Default and Delete View. Delete asks first. The default view cannot be deleted, so make another view the default first.
Changing the documents list's columns
Open a list view to change the columns of the documents list:
- Add Column adds a document field or one of the list's own columns (Document, Entity, Uploaded, Status). It is added last.
- Drag a column by its handle to move it, or press the left and right arrow keys on the handle.
- × removes a column from the view.
- Drag the edge of a text column to make it Narrow, Normal or Wide. A date or an amount always takes the width its format needs.
- Click a column's name for its settings: Width (text columns), Show On (which screens keep it when the list is narrow) and, for an amount, Show With (a field shown after the value, such as Currency).
Nothing is saved until you click Save. Discard puts back what was saved. The documents list always shows the default list view.
Document views are set up through a connected AI assistant (see AI Assistants). Ask it, for example, to show a field in a section, to add a column to the line items, or to open a document type in a view.
Changing views needs the permission to edit fields. Adding a view needs the permission to add fields, and deleting one the permission to delete fields.
Layouts saved before views
Each entity that had saved its own layout got a view named after the entity, laid out as before, and the entity's document types open in it. Nothing you had hidden or arranged was lost.
