Document Types

Document types define the categories of financial documents that Finpilo processes. Each document type has an extraction schema that specifies which fields the AI extracts from the document.

Viewing document types

Navigate to Entity Management and click on an entity.
Select the Document Types tab.

The document types list shows all document types configured for this entity:

CMR — international road transport documents.
Delivery Note — goods delivery documentation.
Invoice — purchase and sales invoices.
Other — documents that do not match other categories.
Receipt — payment receipts and transaction confirmations.

Each row shows the document type name, creation date, and last updated date.

Viewing the extraction schema

Click on a document type to see its extraction schema. The schema shows which fields the AI extracts for this document type, organized into two sections:

Header Fields

Fields extracted at the document level. For the Invoice type, these include:

Basic fields — Currency, Document Number, Due Date, Issue Date, Service Period Start/End dates.
Supplier fields — supplier/seller details.
Recipient fields — buyer/recipient details.
Financial fields — Allowances, Charges, Line Items Subtotal Excl Tax, Payable Amount Incl Tax, Prepaid Amount, Retention Amount, Tax Subtotals, Total Incl Tax.
Dimension fields — any dimensions configured to appear at the header level (indicated by a green "Dimension" badge). For example, Cost Center, Employees, Product, or VAT Rate.

Line Item Fields

Fields extracted for each line item on the document:

Standard fields — Title, Description, EAN, Quantity, Unit, Unit Price Excl Tax, Total Excl Tax, Tax Rate, Tax Amount, Total Inc. Tax, Supplier Code, Service Period Start/End dates.
Dimension fields — dimensions configured to appear at the line item level, each shown with a green "Dimension" badge and a toggle switch.

Each field has a name and a description explaining what the AI extracts into that field. Dimension fields include a toggle to enable or disable AI assignment for that specific field.

Document types are read-only

Document types are created automatically by the AI processing service. You cannot add, rename, or delete document types from the interface. The extraction schemas are also managed by the AI service.

The only configuration you can change is enabling or disabling specific dimension fields on the extraction schema (Admin/Owner only).
